Terms and Conditions

1. Introduction
Welcome to Submittio (“Platform”). These Terms and Conditions (“Terms”) govern your access to and use of Submittio, operated by Dalibor Rodić, and available at submittio.com. By accessing or using the Platform, you agree to be bound by these Terms. If you do not agree, you must not use the Platform.
2. Definitions
“Platform” means the Submittio website, software, and services accessible at submittio.com and any associated subdomains.
“Organisation” means a conference organiser or institution that creates a workspace on the Platform to manage academic events.
“User” means any individual who accesses the Platform, including administrators, authors, reviewers, and participants.
“Content” means any information, text, files, or materials uploaded to or generated through the Platform, including paper submissions, abstracts, reviewer comments, and event information.
3. Eligibility
You must be at least 18 years old to use the Platform. By using Submittio, you represent that you are of legal age and have the authority to enter into these Terms. If you are using the Platform on behalf of an Organisation, you represent that you have the authority to bind that Organisation to these Terms.
4. Account Registration
Some features of the Platform require you to create an account. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately at dalibor@submittio.com if you suspect any unauthorised use of your account.
You agree to provide accurate, current, and complete information when creating your account. Submittio reserves the right to suspend or terminate accounts that contain false or misleading information.
5. Permitted Use
You may use the Platform to:
- Create and manage academic conference events as an Organisation administrator
- Submit research abstracts and papers to conferences via the Platform
- Review assigned papers and provide feedback as a reviewer
- Register for conferences and events as a participant
- Communicate with other Platform users in the context of a shared conference
6. Prohibited Use
You must not:
- Use the Platform for any unlawful purpose or in violation of any applicable laws or regulations
- Upload content that infringes third-party intellectual property rights
- Submit plagiarised, fabricated, or fraudulent research
- Attempt to gain unauthorised access to any part of the Platform or another user’s account
- Interfere with or disrupt the Platform’s infrastructure or security
- Use automated tools to scrape, harvest, or collect data from the Platform without written permission
- Impersonate any person or Organisation
- Transmit spam, unsolicited messages, or malicious code
7. Content and Intellectual Property
You retain ownership of all Content you submit to the Platform. By uploading Content, you grant Submittio a limited, non-exclusive licence to store, display, and transmit your Content solely for the purpose of providing the Platform’s services to you and to the relevant Organisation.
Submittio does not claim ownership over your research papers, abstracts, or any other original Content you submit. The Platform infrastructure, design, codebase, and non-user-generated content are the intellectual property of Submittio and may not be reproduced without written permission.
8. Administrator Obligations
Organisation administrators are responsible for the lawful and ethical management of their conference events on the Platform. Administrators must:
- Ensure that submission deadlines and event information are accurate
- Assign reviewers who have the appropriate expertise and do not have a conflict of interest
- Communicate decisions to authors in a timely and professional manner
- Comply with all applicable academic integrity standards
- Not use the Platform’s communication tools to send unsolicited commercial messages
9. Paper Submission and Review
By submitting a paper or abstract, authors confirm that the work is original, has not been previously published in the same form, and does not infringe any third-party rights. Authors are responsible for ensuring appropriate co-author acknowledgement and consent.
Reviewer comments submitted through the Platform are visible to the paper author unless marked as internal notes by the reviewer. Internal notes are visible to Organisation administrators only. Submittio does not moderate review content but reserves the right to remove content that violates these Terms.
10. Privacy
Your use of the Platform is also governed by our Privacy Policy, which is incorporated into these Terms by reference. By using Submittio, you consent to the processing of your personal data as described in the Privacy Policy.
11. Payments
The Platform currently operates under a free Basic tier. Paid tiers (Pro and Enterprise) will be introduced in a future update. At that time, additional payment terms will be published and made available to users before any charge is applied. No payment information is currently collected by the Platform.
12. Platform Availability
Submittio aims to provide continuous platform availability but does not guarantee uninterrupted service. Scheduled maintenance, third-party infrastructure issues, or events outside our reasonable control may result in temporary unavailability. We will endeavour to communicate planned downtime in advance where possible.
13. Disclaimers
The Platform is provided “as is” and “as available” without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. Submittio does not warrant that the Platform will be error-free or that any defects will be corrected.
14. Limitation of Liability
To the fullest extent permitted by applicable law, Submittio shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Platform, even if advised of the possibility of such damages. Our total liability to you for any claim arising from these Terms or your use of the Platform shall not exceed the amount paid by you to Submittio in the twelve months preceding the claim.
15. Indemnification
You agree to indemnify, defend, and hold harmless Submittio, its operators, and affiliates from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or related to your violation of these Terms or misuse of the Platform.
16. Termination
Submittio may suspend or terminate your access to the Platform at any time, with or without notice, if we believe you have violated these Terms or if required to do so by law. You may terminate your account at any time by contacting dalibor@submittio.com. On termination, your right to use the Platform ceases immediately. Content you have submitted may be retained for a reasonable period to allow Organisation administrators to manage their conference proceedings.
17. Governing Law
These Terms are governed by and construed in accordance with the laws of Bosnia and Herzegovina. Any disputes arising from these Terms or your use of the Platform shall be subject to the exclusive jurisdiction of the courts of Bosnia and Herzegovina, without prejudice to any mandatory consumer protection rights you may have under the laws of your country of residence.
18. Changes to These Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will update the “Last updated” date at the top of this page and, where appropriate, notify registered users by email. Your continued use of the Platform after changes are published constitutes your acceptance of the revised Terms.
